The maintenance and service options we have available are listed below. A service representative will be happy to discuss them with you and find the best plan to fit your specific needs.

Annual Service Agreement

  • A fixed-cost 12-month service agreement that insures you will receive a next-business-day resolution of any service issues you may experience.
  • No unexpected charges – all repair parts (except consumables) are included.
  • Nationwide coverage – a factory-trained field service engineer will be at your location the next business day after you request technical support.

  • When you experience a hardware issue, just call our toll-free Dispatch Center at (800) 543-8681. A customer service representative will speak with you about the hardware problem; once it has been determined that a visit by one of our field service personnel is required, a service call will be opened.
  • Within an hour, the field service engineer nearest your location will call you and schedule a service call for the next business day.
  • If parts are required, our Parts Center will ship the necessary parts to your location via overnight express service.

Customized Service Agreement

  • When your needs are mission critical and require on-site support or 24/7 on call, we can design a plan to fit your needs. Call us to discuss a plan to fit your needs.

Time and Material Service

  • An alternative to the Annual Service Agreement for hardware not critical to your business.
  • Response time is best effort and often occurs next business day. It depends on the field service engineer's workload as customers with Annual Service Agreements receive priority.

  • When you require T&M service for an item of hardware supported by Access Services, just call our Dispatch Center at (800) 543-8681.
  • Advise the customer service representative that you want a Time & Material Service call and provide the CSR with a credit card number for travel, labor, and parts costs. (There is a two-hour minimum charge.) Travel time is from the time the field service engineer leaves his office until his return to his office.
  • A field service engineer will call you to arrange a time for the service call.
  • When the call is completed, you will sign the service work order, acknowledging the completion of the service work and the associated costs for travel, labor and parts.
  • You will receive an invoice for the cost of the service call based on the current labor and travel rates and parts pricing.

Depot Repair Service

  • Available for smaller items of hardware that are easily shipped via UPS, Federal Express or similar type small package carrier.
  • Generally less expensive than an on-site time and material service call but usually not as fast since depot repair requires shipping the item to and from Access Services.

  • When you require depot repair service, call our Dispatch Center at (800) 543-8681.
  • Advise the customer service representative that you want to ship a piece of hardware to Access Services for Depot Repair service. You will need to provide the customer service representative with a credit card number for labor, shipping, and parts costs. There is a two-hour minimum labor charge.
  • Depot repairs are usually completed in 7-10 working days after receipt of your item of hardware. Expedited service is available for an extra charge.
  • If the hardware cannot be economically repaired, you will be notified. You will be charged only for the inspection time.
  • The hardware item will be returned to you upon completion of the service repair via Federal Express, UPS or similar small package carrier.

Advanced Exchange Service Agreement

  • A fixed-cost 12-month annual service agreement that provides prompt resolution of any hardware service issues you may experience via exchange of your scanner with a replacement the next business day.
  • This service is only available for certain page scanners manufactured by Canon USA and check scanners manufactured by Digital Check.
  • No unexpected charges – all repair parts are included.

  • When you require advanced exchange service for an item of hardware supported by the Advanced Exchange Service Agreement, just call our Dispatch Center at (800) 543-8681.
  • One of our customer service representatives will speak with you about the scanner problem; once it has been determined that Advanced Exchange Service is the best solution, an exchange will be set into motion.
  • A replacement scanner will be shipped to you via overnight small-package express service in a reusable, hard-sided shipping container. When you receive this replacement unit, remove it from the shipping container. Then, place your broken scanner in the shipping container and, using the enclosed airway bill, ship the broken scanner to Access Services.
